Terms and Conditions
- WITH REGARD TO VEHICLE RENTALS
Rental Rates, Periods & Other Charges
Standard rates
• Rates are quoted in N$ (Namibian Dollar)
• Rates inclusive of VAT
• Rental includes unlimited kilometres and excludes fuel
• Rates include collision and theft cover
• Rates include all standard vehicle accessories
• Rates include transfers from and to the International Airport
• Rates are calculated per day, being one 24-hour cycle or part thereof
• Excess deposit and non-waverable excess rates excluded
• Rates include camping equipment BUT excludes trailers, non-standard accessories and equipment, and additional charges
• Additional and young driver surcharges are applicable and not included
• Delivery and collection fees are excluded
• Breakdown, road-side assistance and recovery charges are excluded, but mechanical failure is covered
• All damages / losses not covered by the insurance (see insurance), including claims, will be for the account of the undersigned
• Fines and administration fees are excluded from standard rental rates
• Additional insurance for tyre and windscreen damage (optional and for clients decision) are excluded
• Extra spare tyre charge is not included in standard rental rates
• Cross border permits are not included in standard rental rates
Terms of Payment
• Full payment due on booking unless a written agreement exists between the client and the company
• Payments to be made to Travel into Africa via electronic funds transfer, cash deposit, credit card or cash cheque
• All accommodation will be paid by Travel into Africa to relevant establishments
Drivers
• All drivers must produce a valid and unendorsed drivers licence accompanied by a certified copy (for our records)
• Minimum authorised driving age 23, preferably with 5+ years experience
• Maximum 2 drivers allowed per vehicle
• Under no circumstances will anyone not meeting the above requirements be allowed to drive a vehicle
Excess & Security Deposit
The full excess amount as determined by Travel into Africa is payable as a deposit before the vehicle is collected or delivered. This deposit is applicable for each vehicle, and will be refunded once the vehicle has been returned and inspected. Any charges that may be owed when the vehicle is returned will be recovered before refund. These charges includes, but is not limited to, minor damages and repairs, refuelling (should the vehicle not be returned with a full tank of fuel), fines, windscreen damage, tyre damage and under-carriage damage. This excess is payable only by cash or credit card. Additional tyre and windscreen insurance may be taken out at the discretion of the renter and will be paid in full before the vehicle is collected or delivered.
Extension of Rental Period
Should extension of the rental period be required, Travel into Africa must be notified at least 48 hours (two days) before the expiry date of the original contract. Failing to comply will result in insurance cover being void.
Termination of Rental
Please allow at least 30 minutes to return the vehicle, administration and settling of final charges. Ensure that the keys are handed to Desert Car Hire personnel only. Travel into Africa and Desert Car Hire will not be liable for any losses incurred by the client due to flights missed. It is the responsibility of the renter to allow ample time to return to the point of departure and allow for any possible delays along the way.
Insurance
We strongly recommend that all attendees should have insurance for medical expenses, baggage loss, cancellation/curtailment, default and personal injury or death due to an accident. Medical Rescue and travel insurance can be arranged on your behalf at an additional fee.
The following will not be covered by the insurance:
• Personal property
• Personal injury / death
• Tyre, windscreen & glass damage (optional insurance available on request)
• Damage caused by sandstorms or water
• Under-carriage damage not caused by a collision
Factors that will negate all cover:
• Gross or criminal negligence
• Speeding on tarmac or gravel surfaces
• Overturning a vehicle where no other vehicle is involved
• Unauthorized drivers
• Failing to obtain authorization to extend the rental period
• Not reporting an accident or loss to the Namibia Police within 12 hours of the incident
• Not reporting an accident or loss to Travel into Africa immediately
• Failure to adhere to traffic, road and driving rules and regulations
• Driving under the influence of alcohol or any illegal substance
• Reckless and / or dangerous driving
• Making use of road conditions not suitable for the type of vehicle rented
• Unauthorized cross border rentals
• Not being able to produce keys in case of theft
• Not reporting exact details of last known location of vehicle in the case of theft
Additional
Standard Accessories
All vehicles are fitted with:
• Radio / CD Player
• Air Conditioning
• First Aid Kit
• Fire Extinguisher
• Tow-rope
• Jumper cables
• Spare wheel, jack and spanner
Breakdown & Roadside Assistance
Immediate assistance will be provided in the event of a breakdown or any road side emergency by representatives authorized and appointed by us to do so. In the instance that a vehicle cannot be repaired, Desert Car Hire will arrange that a replacement vehicle be delivered to you. Recovery of the vehicle and/or roadside mechanical assistance will necessitate additional charges and be billed to the driver, except where the vehicle failure is not caused by the driver. If a vehicle cannot continue under this agreement due to negligence, accident or fault on behalf of the Renter this agreement will become null and void. A new agreement will take effect to the replacement vehicle with all conditions, rates, excesses and other implications ditto to this agreement.
General
• Vehicles must be returned in the same condition as received, including all accessories and equipment, as well as with a full tank of fuel
• Vehicle rental is subject to the terms and conditions of the rental agreement, laws of Namibia and our insurance policies
• We reserve the right to substitute vehicles with a similar vehicle if needed
• We reserve the right to cost the rental agreement and charge the credit card of the renter within 72 hours of termination,
• Traffic fines are for your own account and will be charged to your credit card if you do not settle fines before leaving Namibia.
• Off-road driving through bushes, riverbeds etc. as well as dune driving is strictly prohibited and the renter will be held responsible for all damages caused. Beach driving for fishing purposes is acceptable.

50% deposit on booking confirmation; balance due 6 weeks (42 days) before starting date of tour
General Terms & Conditions
Cancellations & no-show
• No-show: 0% of total fees refunded
• 1-7 days prior to arrival: 25% of total fees refunded
• 8-30 days prior to arrival: 50% of the total fees refunded
• 30+ days prior to arrival: 75% of total refunded
